Choose meeting transcription around capture, review, export and privacy rather than a headline allowance.

Choose the workflow before the subscription

For live meetings, check how a tool captures the conversation and whether that method is acceptable to participants. For recordings you already own, start with file import. For your final deliverable, decide whether you need a transcript, a decision log or a list of assigned tasks. These are different outputs: a readable summary cannot replace a searchable record when you need to check what was said.

Use a short, permitted sample

Before paying, try a recording you are allowed to process that includes normal background noise, a name or acronym, a proposed deadline and a sentence where someone changes their mind. Keep a reference transcript of those passages. Compare the output with the audio rather than another AI answer. This is our suggested evaluation method, not a completed product test or accuracy benchmark.

Write down corrections you needed, whether speakers were assigned correctly, and whether a deadline was a suggestion or a commitment. Try the export as well. If the tool produces notes that must be copied and reformatted manually, include that work in your decision.

Read more than the monthly allowance

A monthly transcription allowance does not tell you the maximum usable length of one conversation. Check the individual recording limit, import allowance, summary allowance and whether exports are available on the plan you are considering. Confirm whether quoted prices require annual payment, apply per seat or exclude tax. Look at the renewal and cancellation terms before entering payment details.

Those separate constraints are a useful reminder to inspect a full plan table rather than the largest number in an advertisement. When to postpone a purchase
